IV Booking Guide

Getting to know Indochina Voyages from the internet search or friends’ recommendation and feeling a little overwhelmed, don’t know where to start? Here are our helpful steps that guide you to proceed with your travel booking and enjoy working with us.

Step 1: Get to know us and share your preference

In each tour you are browsing, there will be a “Book Now” button and after you click, a booking form will come up and just simply fill your information in, the more, the better. You can also click on “Contact Us” to send us a quick comment after filling in the required email so that our team can get back. Other than that, chat with our expert or send a direct email to info@indochinavoyages.com or click on the “Customize“ button.

Then let’s share with our travel expert your wish list, and what you are really keen on doing along with your trip. The travel consultant is genuinely interested in getting to know you to ensure that we are tailoring the trip your way, in every detail.

Step 2: Receive and Refine Your Itinerary

After reviewing your initial preferences and requirements, our travel consultant will promptly provide you with a drafted itinerary and an approximate cost. This will give you a clearer idea of your trip and allow for further customization. We have made it a rule to do this step in between 12 – 24 hours and to reply to the client at the soonest time possible.

During this stage, we will work closely with you to refine and fine-tune your itinerary. We understand that schedules, ideas, and preferences may change, so we are flexible to accommodate any adjustments. Whether it takes a few days or a few months, our team is always available to cater to your needs. End of this step is when we can offer you the final agreed itinerary & final quote.

Step 3: Please-Go-Ahead

Once you’re happy with the plan and say Yes to the booking, we require a 30% deposit and completion of “client’s information” sent via email. Upon receiving both of these we will confirm all reservations included in your itinerary. If you are traveling less than 45 days prior to the departure date, full payment will be required.

Step 4: Being friends and exchanging pre-trip talks

In many cases, our clients become friends with the travel consultant due to heaps of emails exchanged before the trip is booked. We know that even after your holiday is booked, you’re likely to have further questions or requests to add an activity, make a restaurant reservation, or just have a chat about your upcoming trip. We take pride in being your friend and are happy to do anything to help make a friend’s trip memorable.

Step 5: Receive Your Final Travel Documents and Enjoy Your Journey

Once your full payment is completed, you will receive your final travel documents, including a detailed day-by-day itinerary in a PDF format that you can easily print and carry with you during your trip. Additionally, our travel consultant will provide you with some trip notes or “before you go” suggestions which are very helpful to the destination you travel to.

As you embark on your journey, rest assured that we have double-checked all arrangements 48 hours prior to your arrival to ensure everything is in order. Along the trip, the travel consultant, in combination with the ground team of tour guide & the driver is always at your disposal besides the agreed itinerary. The travel consultant will call or text you every 2 or 3 days just to make sure you are well and enjoying the trip in every way. It has been our culture and mission to make sure you come as a client and leave as a friend, a true friend.
